PortalCal is published by CcsSync LLC, a Virginia limited liability company. It reads a calendar feed published by your employer, school, or another service and writes it into a calendar you choose - Outlook (via Microsoft) or Google Calendar. This page explains what data that requires, where it goes, and what we do not do with it.
PortalCal is an application for Windows and for Mac that runs on your own computer and keeps its data there. It downloads your schedule directly from the feed server to your computer, and writes it directly from your computer to your calendar; nothing schedule-related ever touches a server of ours. Buying a subscription is a separate transaction handled by a payment company - Lemon Squeezy if you buy from our website, Apple if you buy in the Mac App Store. What we learn about you differs between the two, and both are described below.
.ics. It is stored encrypted on your own
computer and is used only to fetch your schedule from the server
named in that link, over HTTPS. PortalCal will not accept a plain
http link, because that would send your details across
the internet unencrypted.PortalCal works for 30 days without a key, a card or an email address. Starting the trial sends nothing to us or to anyone else. The date the trial began is kept on your own computer, together with a scrambled form of an identifier of that computer, so that the trial cannot simply be started again; that identifier never leaves your computer. (In the Mac App Store edition there is no built-in trial; the first month of the subscription is free instead, and Apple keeps track of that.)
If you buy from our website. Billing and licensing are handled by Lemon Squeezy, which acts as the merchant of record for PortalCal. When you subscribe, Lemon Squeezy collects and processes your payment details. We never see or store your card number.
What we can see, in the seller dashboard Lemon Squeezy provides, is:
We use that information to issue your license key, to answer questions about your own order, and to meet tax and accounting obligations. We do not use it for marketing and we do not add you to a mailing list.
Your license key is delivered to that email address, which is why an email address is required in order to buy.
If you buy in the Mac App Store. The subscription is sold by Apple and charged to your Apple Account. Apple does not give us your name, your email address or your payment details. What we can see, in the reports Apple provides to developers, is totals: how many subscriptions were started, renewed or cancelled, by country. We cannot tell which person bought. The app itself asks Apple, on your Mac, whether your subscription is current; that answer stays on your Mac.
This applies to copies bought from our website, which use a license key. Activating a license sends two things from your computer to Lemon Squeezy's license API: the license key you entered, and a name for the computer. On Windows that is the computer's name as Windows reports it; on a Mac it is simply the word "Mac". The name is how a license key is tied to one computer at a time, so that deactivating here frees it to be used there.
Windows computer names are often something like
DESKTOP-A1B2C3D, but they can also contain a person's name if
that is how the PC was set up. If you would rather that name were not
recorded, rename the PC in Windows before activating.
The Mac App Store edition has no license key and sends nothing to Lemon Squeezy.
No schedule data, calendar data, feed link, username or password is ever sent to Lemon Squeezy or to us.
Once a day, while it is running, PortalCal fetches a small file from
https://portalcal.com/updates/ (latest.json on
Windows, appcast.xml on a Mac) to find out whether a newer
version has been published. The request contains no personal data and
nothing about your schedule.
Like any request to any website, our web host records the ordinary details
of it - see the next section. Nothing is downloaded or installed unless
you choose to; a new version is downloaded from
downloads.ccssync.com.
A copy installed from the Microsoft Store is the same program and makes the same check; the Store can also update it. The Mac App Store edition is updated by the App Store and makes no update check of its own.
The pages on portalcal.com are plain HTML. There are no cookies, no analytics, no advertising, no tracking pixels, and no third-party scripts or fonts loaded from anywhere else.
The site is hosted on Cloudflare. Like any web host, Cloudflare records standard server request logs - IP address, the page requested, timestamp, and the browser or application making the request - for delivery, security and abuse prevention. We do not use those logs to build any profile of you and we do not combine them with anything else on this page.
If you email support@portalcal.com, we hold that email, your address, and anything you attach to it. PortalCal's log file and diagnostic copies stay on your computer unless you choose to send them; if you do send one, it may contain your feed username, the names and times of your events, and any locations or notes your service puts in them, so please only send what you are comfortable sharing.
Support email is kept only as long as it is useful for answering you and for spotting repeat problems, and is deleted within 12 months unless an issue is still open.
On Windows. Everything the app stores - your encrypted feed link, username and password,
your Microsoft and Google access tokens, your settings, your history,
its log and its diagnostic copies - lives in a folder under your own
Windows user profile (%LOCALAPPDATA%\PortalCal). The start
date of the free trial is kept there and also in the Windows registry
under your own account.
Uninstalling PortalCal removes the program but deliberately keeps
this data folder - it does not delete it. That's on purpose:
most feeds only publish a window of a few weeks or months, and once an event drops out of the feed PortalCal cannot get it back, so your history is treated as something too valuable to risk losing to an uninstall. A separate copy of your history is also kept at
Documents\PortalCal\History (your PC's name).ics, for the same reason, and that copy is likewise
untouched by uninstalling or by deleting the AppData folder above. If
you want everything gone, both locations need to be deleted by hand. The
start date of the free trial stays in the registry so that the trial
cannot be restarted.
If you switch on the warning that tells you when the PC has been off, the marker PortalCal keeps in your own calendar for it includes this computer's name, so that you can tell which computer it is about. That goes to your calendar with Microsoft or Google and nowhere else.
On a Mac. Your feed link, username and password, your Microsoft and Google access tokens, any license key and the start date of the free trial are in your Mac's Keychain. Your settings, your history, the log and the diagnostic copies are in PortalCal's own folder inside your Library (the History tab of Settings has a button that shows it). The Mac app keeps no second copy in Documents; "Save a copy" on the History tab makes one wherever you choose.
Dragging PortalCal to the Trash removes the program but not that folder or the Keychain entries. Before removing it, Forget on the Feed tab removes the saved details, Sign out removes a calendar sign-in, and Deactivate removes the license key. To remove the rest, delete the folder the History tab shows. The start date of the free trial stays in the Keychain so that the trial cannot be restarted.
The only things that leave your computer are the ones described above: your schedule request to the feed server, your calendar writes to Microsoft or Google, license activation to Lemon Squeezy (website purchases), the subscription check with Apple (Mac App Store purchases), and the daily update check.
The data on your own computer is yours already - you can read, copy or delete the folders named above at any time, without asking us.
For the customer information we hold, email support@portalcal.com and we will send you a copy of it, correct it, or delete it. We will reply within 30 days.
One limit worth stating plainly: completed orders and invoices have to be kept for tax and accounting purposes, so those records are retained for as long as the law requires even after an account is closed. Deleting your information does not cancel a subscription, and cancelling does not by itself delete your information - if you want both, say so.
Each of these has its own privacy policy governing how they handle data once it reaches them.
